What’s a typical day as Customer Service Assistant? You’ll be:
– Learning the software system thoroughly and processing orders efficiently.
– Interfacing with customers regarding the details of their orders, including emailing tracking numbers for shipments.
– Answering phones and responding to online chat inquiries on the website.
– Processing repair and sales orders while coordinating materials and internal communication.
– Reviewing daily orders and monitoring progress to ensure timely shipments.
– Preparing monthly orders of materials and supplies and researching inventory records.
– Obtaining quotes from vendors and making recommendations to management based on bid proposals.
– Processing purchase orders for parts and equipment, ensuring accuracy in order quantity, pricing, and availability.
– Following up on purchase orders and conferring with suppliers regarding late deliveries.
– Expediting orders and maintaining close contact with suppliers to ensure timely delivery.
– Compiling and updating records on items purchased, prices, deliveries, and inventories.
– Working with accounting to verify supplies for payment approval and resolving invoice problems.
– Organizing and maintaining files and records, including databases and spreadsheets.
– Maintaining a professional demeanor and representing the best interests of the company at all times.
– Providing exceptional customer service as needed and contributing to team efforts.

This job might be an outstanding fit if you:
– Have 2-5 years of Administrative Assistant experience, preferably in an industrial distribution environment, with at least one year of customer service experience being a plus.
– Are proficient in a variety of computer software programs, particularly Microsoft Office (especially Excel).
– Possess strong knowledge of established business etiquette and website maintenance/social media.
– Have college-level knowledge of business or purchasing, typically through the attainment of an Associate Degree, which is a plus.
