We are partnering with a premier provider of accounting, financial management, and tax services in Rochester, NY, to find a reliable and detail-oriented Administrative Assistant to join their team for the busy peak season.
Pay: $18 – $20/hr (based on experience)
Hours: Monday through Friday, 9:00 AM – 5:00 PM

What You’ll Do:
- Client Communication: Answer phones, confirm receipt of client information, and notify clients when their tax returns are ready for pick-up.
- Appointment Preparation: Assemble folders for next-day appointments, prepare blank folders for returns received by mail or drop-off, and make reminder calls to clients.
- Tax Return Assembly: Ensure accurate and timely assembly of tax returns with attention to detail.
- Secure File Management: Use Share File, Safe Send, and Sure Prep to securely send, receive, and organize client information, documents, and electronic signatures. (We will train if not experienced with Share file/Safe send and Sure Prep)
- General Administrative Support: Assist with office-related tasks to help ensure the efficiency and smooth operation of the office during the busy tax season.
What We’re Looking For:
- Reliability: Must be dependable and available to work through the busy peak season from February to mid-April.
- Organizational Skills: Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Attention to Detail: Accuracy is key in assembling tax returns and managing client information.
- Communication: Excellent verbal communication and phone etiquette, especially when interacting with clients.
- Tech-Savvy: Ability to use secure file-sharing platforms and basic office technology (training provided for Share File, Safe Send, and Sure Prep).
- Experience: Prior administrative or customer service experience is preferred but not required.
