Job Description:

We are seeking a proficient Administrative Assistant II for the Resource Center, primarily supporting activities related to client satisfaction and serving as a key contact for select accounts. This role requires strong proficiency in Microsoft Word, Excel, and Outlook.

Essential Duties and Responsibilities:

  • Log and track all client requests.

  • Distribute client updates, requests, and necessary information to appropriate staff.

  • Manage monthly reports as needed.

  • Monitor the quality and accuracy of all outgoing printed materials for client forms, labels, envelopes, reports, and correspondence.

  • Maintain inventory levels and reordering procedures for the client.

  • Follow-up inter-departmentally to ensure client requests are processed in a timely manner.

  • Coordinate mailings and special projects.

  • Collaborate with RC supervisors to train and update CRRs regarding clients’ products and programs.

  • Assist in training, coordination, and development of materials.

  • Document and update procedures and daily processes as necessary.

  • Recommend corrective services to address customer complaints.

  • Answer inbound phone lines related to clients and supply requested information promptly.

  • Field questions, problems, and requests in the Account Manager’s absence.

  • Serve as a back-up in the call center as needed.

Skills Required:

  • Exceptional customer service, interpersonal, and communication skills.

  • Strong background in Microsoft Excel and Word.

  • Strong organizational skills.

  • Ability to work well independently.

  • Experience in office protocols.

  • Professional appearance.

  • Self-motivated.

Work Schedule:

  • Monday – Friday, 8:00 am – 5:00 pm (with a non-paid 1-hour lunch).

Benefits:

  • PTO: Starts with 2 weeks for the first 2 years of service, increasing to 3 weeks after 2 years, 4 weeks after 7 years, and 5 weeks after 12 years.

  • Overtime Pay (with Manager approval).

  • 9 paid Holidays.

  • Bereavement Leave: Up to 3 days of paid leave for immediate family members.

  • Jury Duty: One week of paid jury duty.

  • Medical, Dental, Vision Insurance (eligibility after 30 days; employees responsible for dependent coverage costs).

  • 401K Program (eligibility after 30 days).
