Administrative Assistant
Location: Southfield, MI
Shift: Full-Time (8:00am – 5:00pm)
Compensation: $20 /hour

SUMMARY:
Provide Administrative Support to the Vice President of Housing and Regional Community Administrator to ensure regulatory compliance and stability of the Communities we serve and efficient operations of the Housing Administrative office.
 
ESSENTIAL JOB FUNCTIONS:

  • Provide administrative support to the Vice President, and the Regional Property Manager as needed.

  • Manage the office of the Vice President of Housing including coordinate and manage the VP’s schedule/calendar

  • Assist Vice President of Housing and Regional Housing Administrator in communicating with site staff, regulatory agencies, ownership and the general public

  • Maintain calendars, contact databases and appointments

  • Executing general office duties that include but are not limited to taking resident phone calls and follow up to resolve resident issues or concerns

  • Prepare letters, memos, emails and reports in draft and final form

  • Proofread and edit materials to ensure high quality communications

  • Coordinate meetings, facilities and accommodations as required

  • Research and provide information materials for projects and special assignments

  • Maintain files, materials, information, reports and related communications

  • Establish and maintain a professional relationship with VOAMI community staff

  • Be aligned with the VOAMI organizational goals, financial objectives and regulatory compliance that is required in the Housing department.

  • Attend appropriate trainings in affordable housing and regulatory programs to become familiar with requirements

  • Provide administrative or data entry support with property budgets

  • Handle sensitive information appropriately while maintaining a high level of confidentiality

  • Ensure that sensitive documents are completed, approved and delivered on time

  • Coordinate and manage travel including airfare, hotel and transportation

  • Complete Reserve Escrow Requests and other financial requests when required

  • Assist with assuring compliance and readiness for management reviews and/or file audits at communities when needed

  • Assist with preparation for management reviews or tenant file reviews; assist in and ensure preparation for reviews

  • Monitor reserve requests and create a tickler file to assure timely action

  • Assist in preparation of reports for regulatory agent management and occupancy reviews, property inspections, and tenant file audits and follow up with timely responses to the regulatory agencies

  • Assure that all required handbooks, forms, signs, posters, policies and procedures are provided for all VOAMI communities

  • Project management services including implementation, planning & design, execution and monitoring for the office of the VP of Housing.

Additional Responsibilities

  • Maintain compliance with VOA Michigan policies and procedures

  • Ensure that all duties are carried out in a timely and orderly manner so that VOA Michigan functions in the most efficient manner possible

  • Other duties as assigned

 
REQUIRED KNOWLEDGE, SKILLS AND ABILITES:

  • Bachelor’s degree in business or related field or related experience or equivalent educational experience and / or credentials

  • Prefer a minimum of (3) years of experience in Administrative Support with affordable housing,

  • Housing Tax Credit, tax exempt bond, HUD and HOME program experience a plus

  • Excellent Administrative, Clerical and Organizational Skills

  • Standard bookkeeping and accounting skills preferred.

  • Excellent computer skills with willingness and capability to learn new programs

  • Proficient with Microsoft, Outlook, SharePoint, Word and Excel software programs

  • Demonstrate ethics and integrity on personal as well as professional levels.

  • Ability to communicate clearly both verbally and in writing, including ability to provide technical assistance on complex compliance matters in a simple and straight forward manner

  • Must be detail oriented, work independently and adhere to deadlines

  • Ability to solve problems involving residents, program compliance, Housing providers or regulatory agencies

  • Must have excellent people skills and the ability to build and maintain positive, supportive working relationships

  • Ability to multi-task and prioritize effectively, flexibly and responsibly

  • Ability to work effectively with individuals of varying incomes, skill levels, experiences and cultures

  • Must be an engaged team player willing to assist where needed (i.e. in offices of apartment communities) or other office locations/departments

  • Ability to work flexible hours, some evenings and weekends and travel occasionally

  • Must have a valid driver’s license and driving record that is acceptable to VOAMI’s insurer

May be subject to hostile and/or emotionally upset staff, residents/clients and/or public.
