Kelly Services is seeking an organized and proactive Executive Admin to support a leadership team for our client in Stratham, NH. This hybrid role offers flexibility with 4 days on-site and 1 day remote each week, promoting a healthy work-life balance. As a key support to the executive team, you’ll manage departmental meetings, coordinate travel, assist with special projects, and provide general administrative support. Key Responsibilities

  • Meeting Coordination: Schedule and coordinate departmental meetings on behalf of VPs and the leadership team.

  • Event Planning: Plan and organize on-site and off-site events, including large-scale meetings.

  • Liaison Duties: Serve as the main point of contact for internal and external communications, fostering effective collaboration.

  • Presentation Support: Prepare, edit, and polish key business presentations that aid in decision-making.

  • Special Projects: Assist with various projects, including research, data gathering, and information distribution.

  • Travel Management: Arrange travel logistics, create detailed itineraries, and manage expense reports.

  • Administrative Support: Handle tasks such as correspondence, filing, faxing, and mail sorting.

  • Budget and Financial Oversight: Manage departmental budgets, process invoices, generate purchase orders, and manage inventory.

  • System Guidance: Train and guide team members on internal systems and procedures.

  • Data Coordination: Collaborate across departments to gather and organize data for efficient reporting and analysis.

Qualifications

  • Experience: Minimum of 3 years in an administrative support role.

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Organizational Abilities: Strong time management skills and the ability to effectively prioritize tasks.

  • Communication: Excellent written and verbal communication skills.

  • Detail-Oriented: High attention to detail and commitment to accuracy.

  • Adaptability: Ability to work independently and as part of a team, with flexibility to adapt to changing priorities and deadlines.
