Kelly Government Solutions has an exciting opportunity for an Engineering Administrator to support our Facility Engineering Department. This role will ensure the smooth operation of the department by managing and maintain critical engineering documents, coordinating project activities, providing administrative support, and ensuring efficient department operations.  Proficiency with Smartsheet and Microsoft Office is a must. 

Responsibilities:

Document Control and Management:

  • Maintain and update policy and procedure documents

  • Manage document repositories (AutoCAD PLM, SharePoint, Smartsheet, network drives, and project management software)

  • Oversee document control workflows and change control processes

  • Manage document numbering system and database

Project Support:

  • Manage design management and SME support requests

  • Assist Design Manager with coordination of design reviews, project support activities, RFIs, and submittals

  • Act as communication coordinator between project teams and engineering

  • Support drawing requests and design database management

  • Assist in managing the as-built review and upload process

Administrative Support:

  • Provide general administrative support for engineering standards, design guides, and specifications

  • Assist with onboarding, office space facilitation, and inventory management

  • Support procurement activities and purchase card management

  • Coordinate supplies, travel arrangements, and internal/external meetings

  • Facilitate quality control, customer service, budget tracking, and service requests

  • Manage PPE, computer peripherals, and telecommunications

  • Update organizational charts for personnel changes

  • Handle application licenses, training metrics, fleet, and mail facilitation

  • Coordinate team meetings and events, and manage in-house training schedules

  • Develop and maintain a vendor list and facilitate vendor registration

  • Manage general engineering support requests

  • Track and follow up on department deliverables

  • Provide calendar support for the Engineering Director

Qualifications:

  • Exceptional organizational and time management skills

  • Experience with document control systems

  • Proficiency in Microsoft Office Suite and Smartsheet

  • Excellent communication and interpersonal skills

  • Attention to detail and accuracy in managing documentation

  • Ability to work independently and as part of a team

  • Knowledge of engineering and construction processes (preferred)

  • Ability to work effectively and handle multiple tasks simultaneously

To be Successful, You Will Bring:

  • Working knowledge of administration, engineering, and construction management

  • Working knowledge of design reviews, RFIs, submittals, and change order processes

  • Excellent written and verbal communication skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, PowerPoint, Outlook, Visio, and SharePoint)

  • Ability to work and communicate effectively with others

  • Primarily office-based with occasional travel to project sites
