Shift: Monday-Friday, 8am-5pm, Hybrid (3 days onsite, 2 days WFH)

What’s a typical day as a Marketing Operations Coordinator? You’ll be:
• Supporting Marketing Operations Leaders, Thought Leader Liaison, and Brand Marketing in achieving operational objectives and timelines, including Totality documentation, contracting, and budget tracking.
• Managing transactions in Totality, the system of record for capturing value transfers to Healthcare Professionals/Providers (HCPs), ensuring accurate, complete, and timely documentation.
• Coordinating Healthcare Compliance (HCC) review by gathering required information, creating Totality transactions, and facilitating responses to additional information requests.
• Monitoring and tracking contracting, procurement, and HCC approval processes, ensuring all transactions are properly documented and closed.
• Coordinating the review and approval of projects involving value exchange with HCPs, customers, and medical institutions, consolidating Healthcare Professional (HCP) spend to support transparency and federal/state reporting requirements.
• Maintaining comprehensive documentation for HCP transactions in a central location and assisting Project Owners in transaction preparation, verifying supplier ID, HCP Incentive Compensation, business units, and securing necessary documents.
• Identifying and resolving issues impacting transaction submission or closing.
• Maintaining and updating the calendar of Regional Conferences, reviewing prospectuses to identify necessary materials and requirements for each event.
• Collaborating with partner agencies and brand teams to procure and prepare required materials, coordinating the creation and distribution of marketing communications, including eblasts, videos, and emails.
• Overseeing the coordination and management of specific materials or specifications provided by stakeholders.
• Supporting financial and budget tracking for projects, partnering with finance for reconciliation of payments, budget reclasses, invoices, and purchase orders.
• Providing weekly project status reports and recommending process improvements.
• Acting as a resource to troubleshoot and solve issues across Marketing Operations/GI Marketing Operations tactical applications.
• Assisting with data entry, purchase order and contracting support, speaker bureau operations support, and overflow opportunities for the marketing operations team.

This job might be an outstanding fit if you:
• Have a Bachelor’s degree in a relevant field such as Marketing, Communications, or a related field, or equivalent combination of education and experience.
• Have a minimum of 1 year of project management and process development experience and at least 3 years of relevant experience in the healthcare industry.
• Have knowledge of the healthcare compliance environment and budget management in the healthcare industry (preferred).
• Have strong organizational and project management skills with the ability to manage multiple tasks and deadlines.
• Have excellent communication and collaboration skills for effective teamwork with internal and external partners.
• Have keen attention to detail and a proactive approach to problem-solving.
• Have proficiency with Microsoft Office, including Excel, PowerPoint, Outlook, and Word.
• Have experience with Ariba (or related accounts payable system), Aravo, and Totality (preferred).
