Kelly Government Solutions is seeking an Accounting Specialist to support the accounting and finance department of one of our top clients.  This is a direct hire full-time long-term opportunity.   

Salary:  The salary range for this role is $50K – $55K a year (pay is depending on experience and education)

Position Summary
We are seeking a detail-oriented Accounting Specialist to join the team of one of our top clients. You will play a crucial role in supporting their accounting and finance department by handling day-to-day tasks such as accounts payable, accounts receivable, and expense tracking. Your strong understanding of accounting principles and ability to manage multiple tasks efficiently will be essential.

As a member of their growing company, you will have the opportunity to contribute to their success and develop your skills in a dynamic environment. You will work closely with their finance, research, and grants management teams to ensure accurate financial tracking and reporting.

This is NOT a remote position.  Work location is the corporate office in Claremont, CA. This is a full-time position at the facility.

Essential Functions and Tasks

  • Accounts Payable and Receivable: Process vendor invoices, conduct 3-way match, ensure proper expense coding, check for approvals and generate timely vendor payments. Assist in creating receivable invoices, track and apply incoming payments and reconcile accounts.

  • Vendor Management: Collaborate with vendors and internal stakeholders to ensure invoices and payments are properly processed and aligned with contract agreements. Handle vendor inquiries related to payments and resolve any discrepancies.

  • Expense Reporting and Tracking: Monitor and record expenses for federally funded projects, ensuring proper allocation and compliance with project budgets and federal regulations.

  • Invoice Management: Review and verify invoices for accuracy, ensuring they align with contract terms and federal funding requirements.

  • Data Entry and Record Keeping: Maintain accurate and up-to-date financial records and databases, including entering transactions into accounting systems, managing vendor information, and maintaining contract-related financial documentation.

  • General Ledger Support: Assist with journal entries, account reconciliations, and month-end close processes to ensure the accuracy of the general ledger and financial statements.

  • Audit Support: Assist in preparing documentation for internal and external audits, including audits conducted by federal government agencies. Ensure that all financial records are audit-ready and compliant with federal regulations.

  • Reporting and Compliance: Help generate financial reports for internal stakeholders and federal agencies. Ensure that reports meet federal reporting standards and deadlines.

  • Cross-functional Collaboration: Work closely with the finance, research, and grants management teams to ensure proper financial tracking and reporting for government contracts and grants.

  • Other Administrative Tasks: Perform general office duties related to the finance department, including filing, organizing financial documents, and assisting with other projects as needed.

Required Education, Experience, and/or Qualifications

  • Two or more years of experience in an accounting or finance role, preferably in a biotechnology, pharmaceutical, or research-related industry.

  • Associate’s degree in Accounting, Finance, Business Administration, or a related field required. Bachelor’s degree preferred

  • Solid experience and understanding of Full Cycle Accounting

  • Proficiency with accounting software and enterprise resource planning (ERP) systems (e.g., QuickBooks, Netsuite, Sage, Oracle)

  • Strong analytical skills, accuracy and high attention to detail

  • Experience with month-end account reconciliations, General Ledger and journal entries

  • Working knowledge of spreadsheets and databases (including Excel and Google Drive)

  • Demonstrated ability to follow standard procedures

  • Good communication and interpersonal skills, with the ability to work in a team environment

  • Self-starter with efficient time management and organizational skills

  • Ability to prioritize workload and adapt to quick changes while ensuring an accurate and complete work product and meet business critical deadlines

  • Must be a U.S. citizen

Desired Education, Experience, and/or Qualifications

  • Certification in accounting (e.g., Certified Government Financial Manager (CGFM) or other relevant certifications) is a plus

  • Experience assisting in a financial audit

  • Experience with government grants and contracts, such as Small Business Innovation Research (SBIR) or Broad Area Announcements (BAA)

  • Experience with QuickBooks, NetSuite, Unanet, Deltek or other DCAA compliant accounting systems
