Administrative Coordinator

Monday- Friday 8AM-4PM

$35-$40/HR- DOE

 

The Role: We are seeking a highly effective and organized individual for an Administrative Coordinator

Key Responsibilities:

  • Deliver an excellent first impression

  • Serve as the point of contact / reception for visitors during business hours

  • Sign visitors in and coordinate all on-site meetings

  • Create a welcoming environment for visitors and guests (e.g., A/V set up, meeting coordination)

  • Coordinate meeting logistics (e.g., catering, preparing conference room, etc)

  • Collaborate with the IT and People departments to ensure that each team member has the equipment they need to do their job well, from Day 1

  • Order and coordinate on-site and virtual meeting and events (including catering – two team lunch orders/week)

  • Manage correspondence (e.g., letters, packages) by handling and distributing incoming/outgoing mail

  • Work with HR operations to deliver on-site administrative tasks (e.g., I9 verification, on-boarding, etc)

  • Own office/facilities delivery

  • Maintain all office equipment and call maintenance when necessary (e.g., printers, lights, refrigerator, broken doors)

  • Keep reception area, conference rooms, and all common areas organized

  • Assist with conference room scheduling

  • Coordinate any mail/ shipping

  • Inventory of office/kitchen supplies and restock as needed
