Kelly’s customer, located in Oakville, ON, are looking for a driven and highly motivated part-time Senior Administrative Assistant who can work 30 hours per week supporting the General Manager. The Senior Administrative Assistant will play an essential role in supporting the executive and her team within the organization. The Senior Administrative Assistant will have a proactive approach to anticipate needs, help manage the GM’s time, and solve problems before they arise, to enable the GM to focus on their core responsibilities.

RESPONSIBILITIES:

  • Efficiently manage a robust calendar, scheduling appointments, meetings, and conferences, ensuring optimal use of time

  • Arrange domestic and international travel for the GM, including flights, accommodations, ground transportation, and itinerary planning

  • Handle personal tasks for the GM as needed

  • Act as the primary point of contact between the GM and internal/external stakeholders, screening and prioritizing communications

  • Manage set up and break down of in-office appointments, meetings, and events

  • Maintain office tidiness and organization of product closets, etc.

  • Retain confidential files and records, ensuring accurate documentation and filing

  • Prepare and schedule courier pick up and drop off (e.g., documents or product mailings to sales field or retailers)

  • Place product orders with the warehouse when needed for meetings and other events

  • Facilitate Purchase Orders for local production with the PO system and assisting with obtaining vendor quotes

  • Code and send invoices, with some assistance in budget tracking

  • Assist with preparation for retailer meetings, including PowerPoint presentations

  • Prepare presentations or analysis templates as needed

  • Manage digital assets internally and coordinate with third party agencies (with the guidance of marketing) when needed

  • Attend meetings and take notes where necessary for follow-up action and information

REQUIREMENTS:

  • Bachelor’s degree (preferred)

  • 2+ years of experience in a Senior Administrative Assistant or similar role

  • Proven experience as a Senior Administrative Assistant or similar role, preferably supporting leaders within the beauty, fashion or Retail industry

  • Keen sense of collaboration with multiple departments

  • Excellent organizational and time-management skills, with the ability to prioritize tasks

  • Strong verbal and written communication skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with online calendars and scheduling tools

  • Discretion and confidentiality in handling sensitive information

  • Ability to work independently and remotely, with occasional in-office availability
