The EH&S Document Administrator is responsible for managing and maintaining all Environmental Health & Safety (EH&S) documentation to ensure compliance with regulatory requirements and company policies, supporting our three sites in North America. This role involves organizing, updating, and archiving documents, preparing for audits, and supporting the EH&S team with administrative tasks.
Key Responsibilities:
- Perform regular inspections of facilities, equipment, and work areas to identify potential hazards and ensure compliance with EHS standards and regulations.
- Ensure employees are aware of and follow safety protocols.
- Identify potential environmental and safety hazards.
- Implement corrective measures to mitigate risks.
- Document findings and recommend corrective actions.
- Offer support to the Environmental Health & Safety (EH&S) group in various document administrative tasks.
- Assist in the coordination and completion of the EH&S Streamline Project, ensuring timelines and deliverables are met.
- Ensure all EH&S documents, such as safety manuals, incident reports, and compliance records are systematically organized and maintained.
- Review, update, and streamline EH&S policies and procedures within North America to ensure compliance with current regulations.
- Keep abreast of the latest EH&S regulations and best practices
- Oversee the document control system for EH&S files, guaranteeing that the most current information is readily available.
- Create and maintain spreadsheet with archived documents in accordance with company policies and regulatory requirements.
- Ensure all EH&S documentation complies with local, state, and federal regulations.
- Prepare documentation for internal and external audits, ensuring all required documents are accurate and up to date.
- Engage in audit processes and conduct internal evaluations when needed.
- Create and maintain an EH&S database for tracking and reporting on key Contractor EH&S metrics, such as incident rates, near misses, and BBP’s.
- Assist with updating EH&S training materials, ensuring they are comprehensive and current.
- Support 2025 Turnaround.
Experience:
- Previous experience in EH&S
- Familiarity with federal, state, and local regulation, such as OSHA, EPA, and DOT standards.
- Document management or administrative roles, preferably within an EH&S context.
- Experience with regulatory compliance and audit preparation is a plus.

- Organizational Skills: Strong organizational and time management skills to handle multiple tasks and deadlines.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
- Communication Skills: Excellent written and verbal communication skills to effectively convey information and updates.
- Attention to Detail: High level of accuracy and attention to detail in documentation and data management.
- Problem-Solving: Ability to identify issues and implement effective solutions.
- Team Collaboration: Strong interpersonal skills to work effectively with cross-functional teams.
- Problem-Solving Skills: Ability to develop and implement effective solutions to safety and environmental issues
