Salary/Pay Rate/Compensation: $35/hour
Shift: Monday-Friday, 8am-4pm
Location: Onsite, Santa Clara, CA

What’s a typical day as a Meeting Planner? You’ll be:
• Partnering with Global Strategic Marketing to execute Health Care Professional events for the Ottava team
• Managing full logistics planning for events, including assisting with airfare, ground transportation, hotel and meal arrangements for US and International Attendees
• Managing event materials and hosting if in the respective client facility
• Partnering with JNJ Travel to source hotels as needed
• Establishing processes in Santa Clara institute with onsite staff and JJI Team
• Managing event registrations in Cvent
• Reconciling attendance for each event
• Managing credit card payments and maintaining accurate receipts
• Resolving any vendor payment or receipt discrepancies
• Keeping accurate and timely records in dedicated SharePoint site
• Communicating all necessary event details to event lead
• Hosting all attendees onsite during events and managing setup and breakdown of event
• Managing, printing, and preparing all event materials to be used onsite, including security badges
• Securing JJI space as needed for events
• Adhering to all HCC/Legal/Privacy Guidelines and Global Travel & Entertainment Policy
• Adhering to Cross Border Policies
This job might be an outstanding fit if you:
• Have a Bachelor’s degree (highly preferred)
• Have a minimum of 2 years meeting planning experience
• Have experience in MD/Pharma (highly preferred)
• Have a strong customer focus and commitment to providing superior service
• Have strong written and verbal communication skills, including grammar and syntax
• Have strong presentation skills
• Have strong interpersonal skills
• Have strong typing skills and proficiency in Microsoft Word, PowerPoint, and Outlook
• Have Cvent experience
• Can acquire experience with J&J Systems on the job
